The Executive Assistant to the CFO/COO provides high-level administrative support to executive leadership, primarily supporting the Chief Financial Officer and Chief Operations Officer. The role leverages a background in finance and/or accounting to support financial operations, reporting, documentation, and executive-level administrative needs.
Responsibilities include coordinating committee meetings, managing calendars, handling incoming calls, arranging travel, meetings and events, and preparing reports, meeting minutes, agendas, presentations, and financial documents. The position works closely with administrative, accounting, finance, and operations teams and provides coverage as needed to ensure seamless departmental operations.

Requirements
- Minimum of an associate degree or equivalent years of experience.
- Five years of executive-level administrative experience.
- Three to five years of experience providing accounting and/or financial support, preferably in an administrative or executive support environment.
- Strong computer skills with knowledge of Microsoft Word, Excel, PowerPoint, Outlook, and Visio.
- Preferred: Experience in health care, nonprofit, federally qualified health center, or community health care environments.
- Preferred: Policy management experience.
- Attention to detail and the ability to achieve thoroughness and accuracy when accomplishing tasks.
- Ability to create auditable documentation, maintain records, and control versions in accordance with organizational standards.
- Strong planning and organizational skills, with the ability to achieve objectives and deadlines.
- Effective oral and written communication and active listening skills with employees at all organizational levels, vendors, partnering organizations, and patients.
- Flexibility and adaptability when priorities change.
- Ability to sit for long periods, stand, walk, and occasionally lift or move up to 25 pounds.
- Good hand and finger dexterity, close vision, and ability to adjust focus.
Responsibilities
- Provide primary administrative and clinical support to the Chief Financial Officer and Chief Operations Officer.
- Provide high-level administrative support to executive leadership with a focus on accounting and financial support.
- Schedule, coordinate, and provide logistical support for assigned committees and internal meetings.
- Coordinate activities for finance and accounting meetings, budget and forecasting meetings, financial reviews, audits, strategic planning, process improvement, risk and compliance, operational planning, facilities, technology, and other administrative operations meetings.
- Prepare and distribute agendas and meeting materials in advance.
- Accurately document meeting minutes, actions, and decisions and follow up with designated individuals to ensure completion of assigned tasks.
- Maintain an annual calendar of committee meetings, send reminders, and monitor attendance to ensure quorum requirements are met.
- Manage and update committee rosters, email distribution lists, and committee correspondence.
- Arrange food and beverage services and coordinate meeting setup and cleanup.
- Assist with financial and accounting activities, including preparing reports, reviewing financial documentation, processing and organizing financial information, supporting reconciliations, and completing related administrative tasks.
- Prepare and maintain accurate and confidential financial documents and reports for executive leadership.
- Manage calendars and coordinate meetings for the CFO and COO.
- Coordinate travel, events, agendas, meeting minutes, and other executive administrative responsibilities.
- Answer and direct calls promptly using a multi-line phone system and provide courteous and efficient assistance to callers.
- Provide administrative support including faxing, scanning, electronic and paper filing, drafting correspondence, managing records, and updating the intranet.
- Coordinate meeting logistics, manage room calendars, and ensure appropriate scheduling.
- Prepare and format presentations and documents in accordance with organizational branding and professional quality standards.
- Collaborate with accounting, finance, and administrative teams to ensure timely completion of financial and operational tasks.
- Provide coverage and support for other administrative functions as needed.
- Complete special projects and other duties as assigned.
