We are seeking a Senior Executive Assistant (EA) for the CEO of Western Digital.
Reporting to the CEO, you will partner closely with the CEO’s Chief of Staff to execute his office. You will be required to structure a working model with another EA, to ensure coverage for the CEO across multiple time zones.
You will be instrumental in ensuring the executive office operates efficiently and effectively. You will be a thought partner, and ambassador, managing a complex calendar.
In this role, you will be trusted to work with the highest level of confidentiality, understanding the needs of a CEO while carefully balancing relationship building across the business, and with external stakeholders. You will need to be organized and innovative, while thriving in a fast-paced environment. You must have a can-do attitude, and be willing to roll your sleeves.
Supporting a CEO for a company spread across the globe, you will need to be flexible with working hours, and self-time management will be necessary. Being able to work alone or as part of a team is vital.
You will need the ability to ensure the CEO’s office is easy to work with and approachable, whilst at the same time being able to balance competing priorities and ensuring the utmost level of professionalism.
Written and verbal communication skills, taking initiative and attention to detail are imperatives – as is having a sense of humor!
Serving as the lead for the EA’s who support the Executive Leadership Team (ELT), you will collaborate closely with all offices reporting to the CEO.
Requirements
- Minimum of 10 years supporting a CEO of a large public company.
- Experience in liaising with a Board of Directors for a large public company.
- Advanced knowledge of desktop computer applications such as Outlook, Word, Excel, PowerPoint, One Drive, SharePoint.
- Ability to carefully manage the time of the CEO, whilst ensuring his office is approachable and easy to deal with.
- Highly organized, resourceful, and detail-oriented.
- Thrives under pressure and adapts quickly to changing priorities.
- Ability to prioritize and manage multiple tasks at the same time.
- Proactive, resourceful, and solutions-oriented.
- Ability to work unsupervised, and at a fast pace.
- Utmost integrity and professionalism.
- Must be a team player, able to work across multiple different teams.
- Demonstrated ability to mentor and guide other admins, as well as partner with peers for shared success.

- Daily presence at WD’s San Jose Great Oaks office is required, and the role may include some domestic and international travel.

Responsibilities
- Calendar Management: ensure the CEO’s time is used to best support the goals of his office and WD. You must be able to manage a complex calendar with ease, ensuring it is up to date at all times.
- Travel: Manage the CEO’s complex travel needs, including planning optimum travel arrangements, arranging ground transport and hotel arrangements, processing of passports, visas etc.
- Briefing Documents: In partnership with the CEO’s Communications team, you will manage briefing documents for key internal/external meetings and create briefing packets for business trips.
- Communication: Facilitate seamless communication between the CEO and internal/external stakeholders.
- Partnerships: Be proactive in working with the ELT EA community to address issues, manage schedule conflicts etc.
- General Enquiries: Act as the source for enquiries into the CEO’s office, ensuring timely responses, and the ability to refer routine matters to appropriate parties.
- Tool Management: Manage expense reports, SOW’s and PO’s, and be savvy with WD’s internal tools such as M365, Co-Pilot, OneDrive etc.
- Board of Directors: Interaction with the WD Board of Directors, as required.
- Projects: Partner with Chief of Staff on special projects, as needed.
- Relationship Building: Build strong relationships across all levels of the organization and with key external partners.
- Leadership: Cascade information to administrative team members as appropriate, while serving as the lead EA to EA’s supporting other ELT members.
- Community: Build the necessary communities to further drive your own development, and to support your peers across the business.
