Job Description

Private investment and advisory firm is looking for a strategic Executive Assistant to serve as the right-hand to their powerhouse CEO. This is an exciting opportunity to support a high-performing leader known for scaling companies with speed and precision! You will manage complex calendars, serve as gatekeeper for the CEO’s time, triage communications and draft responses, prepare for critical meetings, own travel logistics, and anticipate needs before they arise. You will work alongside a team of EAs to support the Executive holistically. Someone with a proactive mindset, impeccable judgment, high EQ, and who thrives in fast-paced, high-expectation environments. This is an on-site role based in Las Vegas (willing to offer relocation assistance). 170-200K+ DOE + competitive benefits, bonus eligible, 401k with matching, flexible PTO & state of the art office gym!

 


Requirements

  • 5+ years supporting a Founder, C-Suite, or senior leader in a fast-paced, high-growth setting.
  • Strong track record managing executive communications, calendars, and high-impact projects.
  • Exceptional writing and tone-matching skills; able to ghostwrite with precision.
  • Highly skilled in logistics, coordination, and time management.
  • Emotionally intelligent, with sharp judgment and strong context awareness.
  • Proactive and forward-thinking, with a sharp instinct for anticipating priorities.
  • Operates with urgency while remaining calm under pressure; highly discreet, loyal, and dependable.
  • Expert in calendar tools, project management platforms (Asana), and office software.


Responsibilities

  • Proactively manage and optimize the CEO’s calendar, balancing business and personal commitments.
  • Act as a strategic gatekeeper—filtering requests, resolving conflicts, and aligning with CEO priorities.
  • Manage CEO’s inbox, drafting communications, and facilitating with internal and external stakeholders.
  • Own travel logistics, including private flights, accommodations, backup plans, captured in a detailed itinerary. 
  • Prepare meeting agendas, briefs, and materials. Attend daily standups and meetings, capturing key takeaways, and driving action items.
  • Track and manage tasks and follow through independently, and prioritize effectively.
  • Anticipate conflicts, remove bottlenecks, and streamline executive workflows.
  • Represent the CEO with professionalism and discretion in all interactions.
  • Lead end-to-end coordination of projects and initiatives. 
  • Keep projects visible and updated in Asana with timely stakeholder communication.
  • Manage quarterly planning logistics and key team cadences.
  • Anticipate challenges and propose solutions before escalation.
  • Maintain full confidentiality; flexible with hours and available during high-priority windows, including weekends when needed.
