High-growth AI fintech startup is looking for a dynamic Executive Assistant to support their CEO. This is an exciting opportunity to be the right hand to a visionary leader at a fast-growing company backed by elite investors with plans to double in size by EOY from 38 employees. As the first Executive Assistant on the team, you'll support the CEO, working directly in his inbox and managing high-stakes communications, proactively managing calendars and tasks, and working cross-functionally with the team. You will also plan team events and off-sites, acting as a culture carrier. Someone who thrives in the intersection of cutting-edge startups and finance-level professionalism, who is extremely proactive and has a high EQ. Experience supporting senior leadership and inbox management is a must. This is an in-office role, based in NYC in NoHo. 160-170K+ DOE + equity and generous benefits.

Requirements

  • Previous 4+ years of experience as an Executive Assistant, ideally supporting senior leadership to C-level at a fast-paced organization. Plus, if previous experience in finance!
  • Experience managing an executive's inbox and calendar, with proven ability to handle confidential communications and high-stakes scheduling independently.
  • Exceptional written and verbal communication. Polished, professional communications for representing the CEO and company to high-profile clients, investors, and stakeholders.
  • Organizational excellence and attention to detail. Proven track record of managing complex priorities, tracking multiple projects simultaneously, and ensuring nothing falls through the cracks.
  • High EQ and adaptability. Strong ability to read situations, understand stakeholder dynamics, and adapt communication style appropriately for different audiences and contexts.
  • Proactive problem-solving mindset. Creative thinker who brings solutions, with the ability to anticipate needs and work independently with minimal oversight.
  • Growth mindset and hunger.
  • Flexibility and startup mentality. Comfortable working outside traditional scope when needed, with understanding that roles evolve quickly in high-growth environments.

Responsibilities

  • Provide proactive support to the CEO to leverage time to focus on strategic priorities and initiatives.
  • Manage inbox and communications, triaging inbox, and ensuring timely responses. Directly respond to and draft emails on behalf of the CEO. Represent the CEO and company with exceptional polish and professionalism in all communications.
  • Strategic calendar management and coordination with internal and external parties. Coordinate meetings, understanding the context and urgency of interactions to optimize the CEO's time and priorities.
  • Serve as an operational backbone to the CEO by tracking action items, following up on commitments and deadlines, and ensuring nothing falls through the cracks.
  • Provide detailed meeting briefings, notes, and logistical coordination to ensure the CEO is fully prepared for all interactions.
  • Work closely with the leadership team across sales and operations to serve as the CEO's eyes and ears, maintaining awareness of team dynamics and company priorities.
  • Plan and execute company offsites, team events, and culture-building initiatives to enhance team camaraderie.
  • Lead ad hoc projects such as creating project trackers, coordinating cross-functional initiatives, and supporting the CEO as the company scales.
  • Act as a liaison across internal leadership and teams, serving as the CEO’s proxy in gathering insights and communicating needs.
  • Organize and coordinate company offsites, internal events, and team-building initiatives to foster a strong culture.
  • Lead and execute ad hoc projects, including setting up communication channels and developing project trackers or workflows as needed.
  • Occasionally assist with light personal support when appropriate (e.g., grabbing lunch during packed schedules), though this is not a primary focus of the role.
