Job Description

The International Stores Finance organization is looking for an Executive Assistant who wants to work in a fast-paced, exciting, and growing organization. We are looking for someone to support two Directors in our International Seller Services team in Seattle, Washington.

This highly rewarding role offers a unique opportunity to gain exposure to broad and diverse areas of the Amazon business and to work with senior leadership teams on a multitude of exciting, sensitive and confidential tasks, as well as join a diverse and supportive EA community. Beyond core administrative responsibilities such as managing calendars, handling confidential information, planning events, and coordinating travel, you'll have opportunities to participate in exciting initiatives such as GenAI implementation projects and team engagement activities.

You will possess the ability to complete complex tasks and projects quickly with little to no guidance, react with appropriate urgency to situations that require a quick turnaround, and be comfortable enough with ambiguity to take effective action without having to know the complete picture. Critical to success will be the ability to think and plan ahead, manage time effectively, and build effective working relationships inside and outside the group.

This role requires five (5) days a week in office.

Requirements

  • 5+ years of executive assistant experience
  • Experience with executive level calendar management
  • Experience with domestic or international travel coordination
  • Experience with Microsoft Office products and applications
  • Experience leading process improvements
  • Experience in a fast-paced, high-tech company
  • Experience designing processes to maximize efficiency

Responsibilities

  • Work in partnership with senior leaders, functional business partners, and other EAs to provide seamless support to the organization.
  • Proactively manage complex calendar and scheduling, working across multiple locations/time zones
  • Demonstrate agility in reprioritizing workload based on shifting business needs
  • Understand business priorities and identify process improvements to create efficiency and scale for the leadership team
  • Support the annual operational planning process, business planning, and performance review cycles.
  • Craft detailed, efficient domestic and international travel itineraries that optimize time and productivity
  • Act as a liaison for direct reports and business stakeholders
  • Conceptualize and execute a diverse range of team events, from social gatherings to large-scale staff meeting agendas, global team meetings, and off-sites
  • Communication Management (internal communications and announcements, presentation edits, internal & external email communications, etc.)
  • Project Management (implementing new GenAI initiatives, tracking key deliverables and action items, reporting, maintaining operational metrics or KPIs for the business, change management, space planning, etc.)
  • Independent ownership and leadership of administrative processes across the org
