Job Description

The Dalio Family Office supports Barbara and Ray Dalio and their family in their ventures, investments, and philanthropic efforts under Dalio Philanthropies, including OceanX, Dalio Education, Endless Network, and the Beijing Dalio Foundation. The office is headquartered in Westport, Connecticut, with regional offices in New York City, Singapore, and Abu Dhabi.

The Executive Assistant will support both the Global Strategic Planning and Office of the CEO leadership teams. This role will enable senior leaders to operate efficiently and effectively by providing seamless day-to-day administrative support, managing team initiatives and processes, and understanding executives’ goals, working styles, and preferences.

The position offers a hybrid work environment and benefits including company-paid medical premiums, paid holidays, summer Friday hours, catered food on in-office days, generous paid time off, a 401(k) employer match, gym reimbursement, backup childcare services, and other financial, insurance, and legal benefits.

Compensation ranges from $90,000 to $205,000 annually, inclusive of a merit-based bonus and dependent on experience, education, and applicable skills. The company is unable to provide immigration sponsorship for this position.

Requirements

  • Minimum of 8 years of Executive Assistant or similar experience in a high-intensity office setting, preferably supporting multiple executives.
  • Discreet and professional handling of sensitive and confidential information, with a high degree of integrity.
  • High degree of client-service professionalism when engaging with internal and external contacts and advisors.
  • Excellent proficiency with Microsoft Word, Outlook, PowerPoint, OneDrive, and SharePoint, with at least basic Excel knowledge.
  • Experience managing projects in a fast-paced, high-caliber environment.
  • Experience with Monday.com, JIRA, Concur, and Sage Intacct.
  • Experience coordinating office events and employee-centric activities.
  • Excellent time-management and task-management skills, including the ability to triage unexpected priorities and manage complex international travel schedules.
  • Ability to multitask and comfortably support a dynamic organization in multiple capacities.
  • Ability to anticipate and proactively manage executive needs.
  • Results-driven, organized, comfortable with ambiguity, and able to pivot quickly.
  • Excellent written and oral communication skills and a professional demeanor.
  • Excellent word-processing, filing, and organizational skills.
  • Ability to coordinate, prioritize, and handle multiple projects simultaneously under minimal supervision.

Responsibilities

  • Provide direct administrative support to the Head of Global Strategic Planning and the Chief of Staff, Office of the CEO.
  • Manage complex and dynamic calendars.
  • Liaise with internal stakeholders and external parties for communications and on-site scheduling.
  • Coordinate schedules, calendars, and shared activities.
  • Plan and proactively arrange appointments and activities accurately.
  • Ensure efficient use of executive time while accommodating shifting priorities.
  • Process and follow up on service and support needs, including IT, purchasing, facilities, travel, and expense reimbursement.
  • Support departmental projects from inception through execution and manage time, workflow, and accountability processes.
  • Keep executives on schedule, monitor daily deliverables, and maintain task lists, dashboards, and workflows.
  • Assist with meeting preparation and follow-up, including maintaining agendas, creating pre-meeting packets, taking notes, distributing materials, and tracking follow-up items.
  • Assist with document preparation, management, and archiving.
  • Process finance-related administrative transactions, including Concur expense reports.
  • Support office community and employee-care activities.
  • Perform additional duties as assigned.
