Job Description

A highly active, Los Angeles–based entrepreneur and philanthropist leading multiple ventures—including real estate development/home ownership initiatives, an eponymous high-end residential textile design company, a private work & well-being collective with event/community hosting and storytelling studio, plus philanthropic efforts in education, the environment, women’s empowerment is seeking a kind, patient, extremely organized Executive/Personal Assistant.

The ideal candidate is a relationship-builder who believes in being a gateway not a gatekeeper, while being mindful of the Principal’s capacity. This individual will handle traditional EA/PA duties—complex scheduling and calendar ownership (including a very high-volume inbox), rolling calls, intricate travel, and meeting/call planning, coordination of vendors across properties, and keeping studios and systems running smoothly while representing the Principal with polish.

The pace is fast, the bar for detail is high, and the work spans household, studio, production, and public-facing settings. The role is hybrid, LA-based. Mac-native, tech-forward instincts and comfort working in both boutique hospitality-style environments and production settings are essential.

Confidentiality and discretion are paramount.

Requirements

  • Bachelor’s degree or accredited certificate in Business, Hospitality, Management, or similar—or equivalent experience.
  • 4–6+ years’ experience in EA/PA/admin roles supporting in fast-moving, multi-stakeholder environments.
  • Mac/Apple literate; highly proficient with Google Workspace and Microsoft Office; comfortable creating briefs, decks, and trackers.
  • Proven strength in organization, prioritization, and follow-through; calm under pressure. Open to being collaborative and generous with accountability.
  • Polished communicator with hospitality mindset; able to represent the Principal across studio, production, and public-facing settings.
  • Valid driver’s license and reliable transportation.
  • Ability to lift/carry up to 25 lbs. and support logistics across household, business, production, and appearances.

Responsibilities

  • Administrative
    • Own a rapidly changing, multi-time-zone calendar across ventures; anticipate conflicts and set priorities.
    • Triage 500–1,000+ emails/day; surface what matters; draft responses and follow-ups.
    • Proactively vet inbound requests by phone/email to clarify objectives before presenting to the Principal.
    • Coordinate closely with the VP Brand Executive and Lead Designer/Project Manager, two members of the design-team on all adds/changes to calendar.
    • Prepare meeting briefs; maintain cloud-drive structure and shared folders.
    • Process invoices/expenses and simple POs.
    • Other duties as assigned.
  • Travel & Logistics
    • Plan and book multi-stop, multi-time-zone travel; monitor trips in progress and pivot at short notice.
    • Track each leg and ensure flawless execution or timely adjustments; maintain personal/professional itineraries and reservations (multiple flight options may be held to keep flexibility).
    • Arrange ground transport, accommodations, meal/entertainment bookings, and on-the-go schedule adjustments.
  • Property, Studio & Vendor Coordination
    • Coordinate vendors and contractors across properties; visit job sites and represent the Principal when needed.
    • Drive the principal's car to service appointments and meetings when required.
    • Maintain stocked, organized studio/workspaces; oversee shipping/mailing and office equipment orders.
    • Source vendors; track deliverables; ensure on-time project execution.
  • Project Management
    • Lead/administer small projects; build and refine systems; maintain trackers for timelines, contacts, gifting/thank-yous, and deliverables.
  • Production Support
    • Be agile on production sets for documentary and lifestyle shows and at events; pitch in across roles to keep things moving.
  • Event Planning & Execution
    • Support community and hosting across salons, workshops, and gatherings: logistics, vendors, RSVPs, and run-of-show.
  • Strategic Support
    • Provide light research/briefing to inform decisions, support philanthropy, design, and real-estate initiatives and strategic sessions.
    • Assist with presentation prep and onboarding coordination as needed for a small, high-standards team.
