The Executive Administrative Officer will play a critical role in supporting the Managing Director by streamlining executive functions, coordinating cross-departmental activities, and ensuring strategic goals are effectively communicated and tracked. The role requires a professional with excellent organizational, analytical, and communication skills, capable of handling high-level administrative tasks and confidential information.
Requirements
- Bachelor’s Degree in Business Administration, Business Management, or a related field.
- Certified Public Secretary (CPS) is a MUST
- Certified Public Accountant – Kenya (CPA-K) is a strong advantage.
- Minimum of 5 years’ experience in a similar executive support or administrative role.
- In-depth knowledge of corporate governance, compliance, and business operations.
- Exceptional written and verbal communication skills.
- Strong leadership, interpersonal, and stakeholder management abilities.
- Advanced computer skills and proficiency in MS Office Suite and business communication tools.
- High level of professionalism, confidentiality, and time management skills.
Responsibilities
- Coordinate daily activities across departments (Finance, Sales, Production, Distribution, and Logistics) under the direction of the MD.
- Track departmental progress to ensure alignment with company goals and strategic objectives.
- Support the implementation and monitoring of departmental plans and initiatives.
- Review departmental reports, analyze data, and present key findings and recommendations to the MD.
- Manage the MD’s schedule, including meetings, travel, appointments, and official communication.
- Plan and coordinate executive meetings; take minutes and follow up on action items.
- Serve as the primary liaison between the MD’s office and both internal teams and external stakeholders.
- Act as gatekeeper, managing access to the MD, and ensuring priorities and communications are effectively handled.
