The Executive Administrative Assistant provides administrative support and office management functions for one or more Chief Officers.
This position offers a full-time remote opportunity in Florida with a compensation range of $55,232.15 to $86,300.24. Employment is contingent on required drug and alcohol testing and background screening for Florida affiliates.
Requirements
- High school diploma or GED required; a college degree preferred or an equivalent combination of education and experience.
- Minimum of three (3) years’ experience in an administrative support and office management capacity to a senior executive.
- Superior written and verbal communication skills with the ability to interact professionally with internal and external customers.
- Advanced skill in Microsoft Office software, including Word, Excel, PowerPoint, and Outlook.
- Highly organized with the ability to successfully manage multiple priorities simultaneously, effectively and efficiently while maintaining confidentiality.
- Ability to work with minimal oversight.
- Ability to anticipate needs and demonstrate initiative when appropriate.
- Able to perform with a high degree of accuracy while meeting deadlines.
- Ability to remain calm and professional in stressful situations and maintain stability of performance under pressure and/or opposition.
- Satisfactorily complete competency requirements for the position.
Responsibilities
- Executive Support: Complete a wide variety of administrative tasks, including managing calendars and appointments, completing expense reports, composing correspondence, arranging complex travel plans and itineraries, and compiling documents for travel-related meetings.
- Anticipate needs and provide overall administrative support for assigned executives.
- Serve as backup for the receptionist and reception area.
- Manage records, manuals, databases, and files; compose and distribute correspondence, announcements, memoranda, and spreadsheets while maintaining strict confidentiality.
- Provide a bridge for smooth communication between assigned executives and internal departments.
- Process invoices, purchase orders, and expense reports as needed; maintain department budget and expense files.
- Provide coverage in the administrative suite as directed.
- Committee Support: Prepare for executive-level meetings, committee meetings, and strategic planning sessions related to assigned executives’ needs; record meeting minutes.
- Represent the company professionally at all times through care delivered and services provided to clients.
- Comply with applicable state, federal, and local regulations, company policies, procedures, and standard practices.
- Maintain the confidentiality of patients, families, colleagues, and other sensitive company information.
- Use resources in a fiscally responsible manner and participate in organizational, departmental, and individual performance improvement.
- Promote professional development, advance electronic media skills, support company research and educational activities, and share expertise with coworkers.
- Participate in Quality Assessment Performance Improvement activities as appropriate for the position.
- Perform other duties as assigned.
