Summary:
This position provides critical executive-level administrative support to senior leadership within a dynamic corporate environment. The role requires a highly organized and proactive professional who can manage complex schedules, coordinate cross-functional activities, and ensure seamless execution of daily operations for multiple senior leaders. This individual will serve as a trusted partner to leadership, managing sensitive information with discretion while maintaining the rhythm of business across various initiatives. The position demands exceptional judgment, strong communication abilities, and the capacity to anticipate needs while balancing competing priorities in a fast-paced setting.

Requirements

  • 5 to 10 years of executive administrative support experience in a corporate environment
  • Proven experience supporting senior leaders at the VP level and above
  • Experience coordinating complex calendars, travel, and expense management for executives
  • Expert calendar management capabilities with ability to handle complex scheduling for multiple senior leaders
  • Strong expense management and budget tracking abilities
  • Project management and coordination skills with attention to detail
  • Exceptional verbal and written communication skills
  • Outstanding organizational and time-management abilities
  • Ability to work independently and exercise sound judgment
  • Discretion in handling confidential and sensitive information
  • Multi-tasking and prioritization in fast-paced environments

Responsibilities

  • Provide comprehensive calendar and meeting coordination for senior leadership, including scheduling, prioritization, logistics, and preparation of agendas and pre-read materials
  • Coordinate meeting logistics such as room reservations, virtual setup, participant coordination, and manage scheduling conflicts in alignment with business priorities
  • Partner with stakeholders across teams including Business Managers, Chiefs of Staff, HR, and Communications to support information flow and meeting preparation
  • Assist with team operations including onboarding and offboarding support, equipment requests, distribution lists, and coordination with recruiting teams
  • Support planning and logistics for team meetings, offsites, and events, including vendor coordination and post-event follow-up
  • Provide operational and project coordination support across initiatives, tracking actions, managing timelines, and assisting with process improvements
  • Assist with expense management, purchase requests, and tracking of operational expenses in partnership with finance teams
  • Help execute regular business cadence activities such as staff meetings, reviews, and planning cycles, coordinating materials and logistics
  • Coordinate domestic and international travel logistics including itineraries, accommodations, and meeting scheduling
  • Supervise general office duties such as ordering supplies and maintaining records management systems
  • Review and approve invoices, reports, memos, letters, and other documents
