Job Description
An exciting opportunity has arisen for a Divisional Personal Assistant to join the Acute Care Division. The postholder will provide personal assistant support to the Acute Care Division Senior Leadership Team which includes Director of Operations, Director of Nursing and the Divisional Clinical Director, ensuring efficiency via proactive liaison with internal colleagues and external bodies. The post holder will also manage a small group of secretarial and administration team members.

Requirements
- Qualifications
- NVQ3 or equivalent in Business Administration or equivalent experience
- RSA Level 3 typing/word processing or equivalent qualification or experience
- Sound educational background (4 GCSE’s, grade C or above)
- Experience
- Previous experience of NHS (or equivalent) administration and clerical duties i.e. diary management, filing systems, telephone and e-mail communications
- Experience of managing diaries and arranging meetings
- Minute taking experience
- Proven experience of supervising a team
- Experience of working with computer software programmes such as Microsoft Office, e-mail and internet
- Experience and knowledge of multi-disciplinary team working
- Experience of working to targets and deadlines

Responsibilities
- Line management of secretaries and administration staff within the Acute Care Division (ACD) Management Team
- Prepare agendas, take minutes and circulate relevant documents for Acute Care Division meetings
- Provide comprehensive support for the ACD Management Team.
- Ensure the ACD Management Team are properly briefed on all relevant incoming mail and to facilitate necessary responses, some of which are highly confidential
- Ensure the ACD Management Team are comprehensively prepared for all forth-coming meetings
- Provide a full range of Personal Assistant duties
- Prepare presentations using appropriate media, including PowerPoint
- To maintain electronic diaries via appropriate liaison with relevant parties, ensuring effective management of the ACD Management Teams time
- Carry out appropriate and efficient housekeeping
