Job Description

Avoq is seeking a Creative Executive Assistant professional who will be responsible for supporting the Chief Creative Officer, Executive Producer and other senior creative leaders by fostering team culture, seamless communications and effective project planning. This is a role for someone who wants to be close to the action and is excited by an ever-changing creative environment. This position is based in our Washington DC office.

Requirements

  • This is an entry-level role for someone with 1-3 years in a creative agency experience.
  • Aptitude for supporting executive leaders with operations and project management.
  • Strong organizational and multitasking skills, with an ability to prioritize and manage multiple projects simultaneously.
  • Excellent communication and interpersonal skills, with the ability to bridge the gap between creative and other department leaders/teams.
  • Proficiency in systems and tools used for communications and project management such as, slack, Workfront, harvest, Microsoft office and google products. Understanding of adobe creative suite and Figma are a bonus.
  • A detail-oriented, problem-solving mindset with the ability to operate in a murky and subjective environment to anticipate challenges and provide solutions.
  • A passion for creativity and knowledge of the creative process.

Responsibilities

  • Operational Support for the CCO:
  • Support the CCO by managing their calendar, priorities, travel and communications.
  • Prepare reports, presentations, and materials to support key decision-making.
  • Serve as a liaison between the CCO and other departments leaders/teams.
  • Assist with new business efforts and manage creative case study library.
  • Workflow & Process Management:
  • Support end-to-end project management for key assignments identified by the CCO, EP, or Creative Leads, ensuring delivery and quality.
  • Develop, implement, and refine processes to improve team efficiency, collaboration and culture.
  • Monitor project status and resources, identifying potential bottlenecks and proactively resolving them.
  • Resource Management & Team Culture:
  • Support annual and monthly department and Creative Leads meeting plan and agenda.
  • Capture and convey weekly wins, anniversaries, birthdays and other positive culture drivers.
  • Facilitate bi-annual employee review cycle planning and coordination
  • Assist creative and production leaders with resource management and team capacity.
  • Budget & Vendor Oversight:
  • Support team leaders during monthly/annual department financial reviews
  • Provide utilization reports and ensure timesheets are up to date across the department.
  • Maintain external vendors and freelancer bench and coordinate smooth onboarding, clear communications, delivery and timely payments.
