Are you a proactive and organised individual looking to be part of an executive team? We are seeking an enthusiastic Administrative Assistant to provide exceptional support to our Executive Assistant (EA) and ensure our Executive Leadership Team (ELT) operates smoothly and efficiently. This role is crucial for aligning our daily operations with strategic priorities.

Requirements

  • Experienced in an administrative role, preferably supporting senior executives or management.
  • Exceptional stakeholder management and interpersonal skills, with the ability to build relationships at all levels.
  • Highly organised, proactive, and a strong communicator—both in writing and verbally.
  • Proficient with Microsoft 365 and eager to learn new systems.
  • Ability to remain calm under pressure, meet deadlines, and maintain discretion in all interactions.

Responsibilities

  • Calendar and Meeting Coordination: Collaborate across time zones to schedule meetings, prepare meaningful agendas, chase pre-reads, and manage logistics for both in-person and Microsoft Teams meetings.
  • Executive Support and Travel/Expenses: Assist with travel arrangements and accommodation bookings, track expenses, and maintain updated distribution lists.
  • Town Halls and Manager Briefs: Support the Executive Assistant in the logistics of Town Hall events, coordinate presenters, and manage necessary IT requirements.
  • Event and Offsite Orchestration: Research and book venues, handle audiovisual needs, arrange catering, transportation, and create detailed itineraries. Foster relationships with vendors for smooth follow-ups.
  • Information Management and Tools: Maintain organised document hubs, uphold naming conventions, and ensure confidentiality of sensitive information.
