This role supports daily operations by managing conference rooms, coordinating meetings and events, and assisting attorneys, staff, clients, and visitors with a polished and professional approach. Requirements

  • Polished communicator. You bring at least three years of receptionist or customer service experience and communicate clearly and confidently, both verbally and in writing. Prior law firm receptionist experience is a plus.
  • Organized. You manage competing priorities with precision and a strong attention to detail.
  • Technologically-savvy. You navigate Microsoft Office Suite and new systems effortlessly, learning on the fly.

Responsibilities

  • Serve as a warm, professional presence at the front desk, assisting clients, visitors, and staff in person, by phone, and via email.
  • Coordinate meetings, events, conferences, and receptions from initial planning through successful execution.
  • Manage conference room scheduling and prepare spaces for both small- and large-scale meetings.
  • Oversee logistical details such as catering, signage, and event materials.
  • Partner with internal teams to ensure meeting materials are distributed and all A/V needs are addressed in advance.
  • Compile and organize meeting materials, including documents, spreadsheets, and presentations ensuring accuracy and readiness.
  • Track and maintain event-related data, preparing clear summaries and reports for leadership.
  • Foster strong internal relationships by executing responsibilities with professionalism, reliability, and a sense of urgency.
  • Provide general administrative, office, and project support as needed, including supply inventory, mail processing, and coordination with building vendors.
