We are seeking a highly organized and proactive Administrative Assistant to to provide administrative and clerical support to the office and team to ensure the efficient operation of the office by supporting a variety of tasks.

Requirements

  • Excellent interpersonal skills and self-awareness
  • Excellent relationship building skills
  • Having a strong work ethic and the ability to address multiple tasks in a short time frame and being able to stick to strict deadlines
  • Strong written and verbal communication skills
  • Ability to work both independently and within a team environment
  • Proficient in Microsoft Word, Excel and PowerPoint
  • Previous experience in the office management is of a great advantage

Responsibilities

  • Manage all daily office operational tasks to ensure smooth functioning of the office
  • Greet guests and answer daily phone calls with professionalism and warmth
  • Keep the office environment clean, organized, and fully stocked with necessary supplies
  • Coordinate with office management to address facility issues or needs
  • Coordinate service providers and external vendors as needed
  • Booking travel arrangements for Managing Partner
  • Gathering data and maintaining organization in Excel lists (diverse staff lists, payments, diverse contact lists, etc.)
  • Create physical filing system, organize the electronic filing system for documents to be uploaded (for other staff members) to the CRM.
  • Facilitate IT onboarding and gathering the work equipment for new joiners and placing orders and keeping tracking updated
  • Assist with special projects and ad hoc requests as needed
  • Representing the office in activities and alignments within the organization
  • Assist Managing Partner as needed
