Providing support to our Senior Leadership Team, this role requires exceptional communication skills, attention to detail, and the ability to manage multiple priorities in a fast-paced environment. The Administrative Assistant will be responsible for calendar management, meeting coordination, travel planning, and confidential administrative support, while also serving as a key liaison between the leadership team and internal and external stakeholders. This person must be resourceful, discreet, and thrive in a dynamic, high-level executive setting.
Requirements
- Exceptional organizational and time-management skills.
- Strong written and verbal communication abilities.
- Proficiency with Microsoft Office Suite (Outlook, Word, Excel, PowerPoint), and experience with tools like Zoom, Slack, or project management platforms.
- Proven ability to manage multiple priorities with a calm, positive, and proactive approach.
- High level of discretion, integrity, and professionalism.
- Ability to work independently and collaboratively as part of a team.
- Bachelor's degree or equivalent work experience.
- 5+ years of experience supporting senior executives in a fast-paced environment, preferably in a resort, hospitality, or tourism setting.
- 0-5% Travel Required
- Position may require occasional work on evenings, weekends, and holidays, especially during winter season.
- The ability to work for extended periods of time sitting, bending, reaching, and speaking constantly.
- Manual dexterity to operate a computer and other common office equipment constantly.
- Auditory and visual ability to operate computers, phones, mobile devices, and basic office equipment constantly.
- Ability to work for extended periods of time sitting, bending, reaching, and speaking constantly.
- Ability to work for extended periods of time standing, walking, kneeling, pushing, and pulling occasionally.
Responsibilities
- Manage complex calendars for multiple senior leaders, including scheduling meetings, appointments, and travel.
- Coordinate internal and external meetings, ensuring clear agendas, materials, and follow-up actions are prepared and tracked.
- Handle travel arrangements, including flights, accommodations, ground transportation, and itineraries.
- Prepare high-quality communications, presentations, and reports on behalf of the leadership team.
- Serve as a liaison between executives and internal/external stakeholders, ensuring timely and professional communication.
- Manage confidential and sensitive information with discretion and professionalism.
- Support special projects and company events as needed.
- Monitor and respond to emails and inquiries, prioritizing urgent matters and ensuring appropriate follow-up.
- Maintain and organize executive files, documents, and records.
- Anticipate needs and take initiative to improve processes and workflows that support leadership effectiveness.
